Privacy Policy

VoltLayer ("VoltLayer," "we," "our," or "us") is committed to protecting the privacy of our customers, users, and visitors. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our AI operations platform, website, and related services (collectively, the "Services"). Please read this policy carefully. If you disagree with its terms, please discontinue use of our Services.
1.Information We Collect
VoltLayer collects information in two primary ways: information you provide directly to us, and information collected automatically through your use of the Services.
1.1 Information You Provide
When you create an account, request a demo, or communicate with us, you may provide:
- •Account information: name, email address, job title, company name, phone number, and billing details.
- •Project and operational data: documents, drawings, RFIs, change orders, daily logs, estimates, schedules, and other construction or electrical project records you upload or connect to the platform.
- •Communications: messages, support requests, and feedback you send to us.
- •Integration credentials: OAuth tokens and API keys used to connect third-party tools such as Procore, QuickBooks, Bluebeam, and similar platforms. These credentials are encrypted at rest and never stored in plaintext.
Invitations. When an organization's owner or admin invites someone, we keep the email address they enter and send one email to it with the invitation and a link to download the Volter app. We use that address only for the invitation.
1.2 Information Collected Automatically
When you access the Services, we automatically collect certain technical data, including:
- •Usage data: pages visited, features accessed, actions taken within the platform, and session duration.
- •Device and browser information: IP address, browser type and version, operating system, and device identifiers.
- •Log data: server logs, error reports, and performance metrics.
- •Cookies and similar technologies: we use cookies and local storage to maintain session state, remember preferences, and analyze usage patterns. You may control cookie behavior through your browser settings; however, disabling certain cookies may impair platform functionality.
1.3 Information from Third-Party Integrations
When you connect VoltLayer to third-party platforms (e.g., Procore, QuickBooks, Bluebeam, Gmail, Outlook), we receive data from those services as authorized by you. The scope of data received is limited to what is necessary to perform the automated workflows you have configured. We do not access third-party accounts beyond the permissions you explicitly grant.
2.How We Use Your Information
VoltLayer uses the information we collect to operate, improve, and secure our Services. Specifically, we use your information to:
- •Deliver the Services: process your project data, execute AI-assisted workflows (RFI triage, change order capture, daily log generation, etc.), and synchronize information across your connected tools.
- •Personalize your experience: train AI agents on your specific workflow rules, approval chains, and pricing logic as configured by your team.
- •Communicate with you: send transactional emails, platform notifications, product updates, and respond to support inquiries.
- •Improve the platform: analyze usage patterns and performance data to identify bugs, optimize features, and develop new capabilities.
- •Ensure security and compliance: detect and prevent fraud, unauthorized access, and other harmful activity; enforce our Terms of Service.
- •Fulfill legal obligations: comply with applicable laws, regulations, and lawful requests from governmental authorities.
We do not sell your personal information to third parties. We do not use your project data to train generalized AI models that serve other customers.
3.Data Sharing and Disclosure
We may share your information in the following limited circumstances:
Volter app: optional transcription of recordings
This section applies to the Volter app for iPhone and the Volter web app at volter.voltlayer.ai.
Off unless you turn it on. Transcription is optional and stays off until you choose Allow transcription. Allowing the microphone does not turn it on. If you choose Not now, you can still record and type text yourself.
What is sent and why. After you allow transcription, the audio of each audio note and video you add to your daily log is sent from our storage to Amazon Transcribe, a speech-to-text service from Amazon Web Services (AWS), which processes it in the United States. We use the result to suggest written text for that entry and, while the entry is still waiting for your review, to help draft your daily report (see AI assistance below). Recordings you added before allowing transcription are not sent unless you ask for a specific recording to be transcribed. Whether a recording is transcribed depends on the choice of the person who made it, and our servers check that choice before any audio is sent, including for retries.
Suggestions are only suggestions. We may also use suggested text to draft your daily report. You see every drafted row before you sign, and you can change or remove it. Transcription never changes or removes your original recordings.
Amazon's copy. After a suggestion is created, or once it is no longer needed, we have Amazon Transcribe delete its copy of that job, including its copy of the suggested text. Amazon does not use this audio or the suggested text to improve its own services: our AWS organization has opted out of AWS AI services using customer content for service improvement.
Turning it off. You can turn transcription off at any time in the app under Profile › Account › Transcription, or on the web under Account › Machine transcription. Recordings you add afterwards are not sent. Transcription that has not started is cancelled, we try to stop any that is in progress, and suggested text you have not used in a confirmed entry is discarded. Audio that was already sent may already have been processed, and turning transcription off cannot undo that. Text you already confirmed, your recordings and your signed reports stay as they are.
Your choice is recorded. We keep a record of each transcription choice you make: the choice, the version of the notice you were shown, and when you made it.
How long we keep it. Recordings, suggested text and the text you confirmed are kept until you discard them or delete your account, or until your organization removes its records. Suggested text you have not used is also discarded when you turn transcription off.
Volter app: AI assistance, work time, weather and report details
AI assistance. During the day and when you finish it, we draft your daily report's sections for you to review, and suggest which of the job's tasks and line items each entry belongs to, for example a required photo or an inspection result. For this we use the text of your entries: notes, photo and video comments, the text labels you type or say onto marked-up photos, transcript text you confirmed, and, for recordings you have not reviewed yet, the suggested transcript, marked as unreviewed. A suggested transcript from Amazon Transcribe is used only while your transcription choice is on. To suggest where a photo belongs, we also send the photo itself (your marked-up copy, if you made one), resized and with its embedded details, such as location and camera data, removed. We also use each entry's type and time, the report section you chose for it, if any, and the names of the job's tasks and line items. This runs on Amazon Bedrock (Amazon Web Services) using an AI model (Claude). It receives no videos, audio, locations, or account names or email addresses; the words you type or say, and what a photo shows, may themselves include people or names. The text and photos are not used to train models. When Volter is confident where an entry belongs, it places it on the task's line item, and that counts toward the task's progress; you can move or remove it at any time. Less certain suggestions wait for you. Drafted rows appear in your daily report for you to check. You can change or remove any of them, and nothing drafted is part of a signed report until you sign it. No task is completed and no report is signed except by a person.
Time on the job. When you tap Start, Pause and Stop, we record those times. They prefill the hours on your daily report. You can change them before you sign; your signature accepts the hours shown.
Weather on your reports. During the day, and again when the day is finished, we ask Open-Meteo for that day's weather at the job site, and we ask again if the job's address is added or changed. The weather is frozen in the report when you sign it. To find the location we send the job's 5-digit ZIP code (or, in Canada, the first 3 characters of the postal code) or its city, and the country code. For the weather we send the location's coordinates rounded to about 1 km, one date, the time zone and the units. If the job has no address, we use the middle point of where that day's photos and videos were taken, rounded the same way. We send no names, email addresses or account identifiers. Reports credit "Weather data by Open-Meteo.com". When one of a job's tasks asks for air quality, we also ask Open-Meteo's air-quality service for that day's air quality at the same rounded location, and it is shown on the task. Air quality data by Open-Meteo.com (CAMS).
Company and job details. An organization's owner or admin can add details that print on its reports: the company's name, logo, address, license number and phone, and a job's general contractor and report recipients. In a personal workspace, you add your own company details.
4.Data Retention
We retain your information for as long as your account is active or as needed to provide the Services. Except for Volter app account deletion as described below, if you close your account, we will delete or anonymize your personal information within 90 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes (such as resolving disputes or enforcing agreements). For Services other than the Volter app, project data and operational records may be retained in anonymized or aggregated form for platform improvement purposes.
Volter app
When you delete your Volter account (Profile › Account › Delete account), your access ends on all your devices right away, and we erase your personal workspace, including its records, files and the reports you signed there. We also have Amazon Transcribe delete any transcription jobs it still holds for you. Records you created in an organization stay with that organization under its records policy. When deletion is complete, we email your verified address; we keep that address only to send this message, for at most 7 days. Company details and logos are kept until the owner or admin removes them or the organization is deleted; a signed report keeps the details it was signed with.
5.Data Security
VoltLayer employs industry-standard technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit (TLS 1.2+), encryption at rest (AES-256), tenant data isolation, role-based access controls, and regular security assessments. No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.
6.Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information:
- •Access: request a copy of the personal information we hold about you.
- •Correction: request that we correct inaccurate or incomplete information.
- •Deletion: request that we delete your personal information, subject to certain legal exceptions.
- •Portability: request that we provide your data in a structured, machine-readable format.
- •Objection and restriction: object to or request restriction of certain processing activities.
- •Withdraw consent: where processing is based on consent, withdraw that consent at any time without affecting the lawfulness of prior processing.

California Residents (CCPA/CPRA)
California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. 7.International Data Transfers
VoltLayer is based in the United States. If you access our Services from outside the United States, your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate. We take appropriate steps to ensure that such transfers comply with applicable data protection laws, including the use of Standard Contractual Clauses where required.
8.Children's Privacy
Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete that information promptly.
9.Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you by email or by posting a prominent notice on our website at least 14 days before the changes take effect. Your continued use of the Services after the effective date constitutes acceptance of the updated policy.
